From RFQ to PO in seven days

Elena Møller · Apr 2026 · 6 min read

A seven-day tender sounds reckless until you map where the weeks actually go. Most of a procurement cycle isn't decision-making — it's waiting, reformatting, and chasing. Remove those and a careful process fits inside a working week.

Day one to two: requirement and pool

Write the requirement once, in plain terms, with the evaluation criteria attached. Invite the suppliers already qualified in your pool. No cold sourcing, no procurement-by-introduction — the market is already vetted and waiting.

Day three to five: offers and normalisation

Offers arrive in whatever format the supplier prefers. They're parsed, converted to a common currency and unit, and laid out side by side automatically. The comparison table builds itself as bids land.

Day six to seven: score and award

Evaluators review AI-proposed scores against the criteria, adjust where their judgement differs, and award. The rationale is captured as they go, so the PO and the audit record are produced together.

The weeks were never in the deciding. They were in the waiting.
